Privacy Notice

This notice explains how Team KR Limited collects, uses and protects your personal information when you book or travel with us.

1. Who We Are

Team KR Limited is the data controller for the personal information described in this notice. We are a private hire vehicle operator providing airport transfer and local minicab journeys.

2. Information We Collect

  1. Booking details: your name, phone number, email address, pickup and drop-off addresses, date and time of travel, passenger and luggage numbers, and flight number where relevant.
  2. Payment information: if you pay by card, your payment is processed directly by Stripe; we do not store your full card number ourselves. If you pay by cash, we record the payment method and amount.
  3. Communications: records of calls, WhatsApp messages and emails you send us relating to a booking or enquiry, including VCR calls described in section 3.
  4. Website usage: technical information such as your IP address and browser type when you use our website, and location data if you allow the site to use Google Maps address auto-suggestions.

3. VCR (Voice Contact Requirement) Calls

As a private hire operator, we're subject to the Voice Contact Requirement ("VCR"), described in our Terms & Conditions and on our VCR page. This means a person is available at our operating centre for you to speak to at all times during our operating hours and while your journey is being carried out, if you want to make a complaint or discuss any other matter about your booking.

  1. If you contact us under the VCR, we use the phone number and booking details you have already provided to identify your booking, and a brief note of the call (for example, the reason for the call and the outcome) is kept against the booking record.
  2. The purpose of the VCR is passenger safety and customer protection โ€” making sure you can always reach a real person about your booking, rather than only by email.
  3. Information given or discussed during a VCR call is used only to fulfil your booking, respond to your complaint or query, and meet our record-keeping obligations as an operator, in line with the purposes set out in section 4.

4. How We Use Your Information

  1. To accept, confirm and fulfil your booking, including allocating a driver and vehicle and tracking your flight.
  2. To provide the Voice Contact Requirement service โ€” making a person available to speak to you during our operating hours and while your journey is being carried out, and to handle any call you make to us under it.
  3. To take payment or arrange invoicing for your journey.
  4. To communicate with you about your booking, including confirmations, driver details and any changes.
  5. To respond to enquiries, complaints and lost-property requests.
  6. To meet our legal and regulatory obligations, including those owed to Transport for London (TfL) as our licensing authority.
  7. To improve our services and the operation of our website.

5. Our Legal Basis for Using Your Information

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on the following legal bases: performance of a contract with you (to fulfil your booking), our legitimate interests (for example, to keep records, provide the Voice Contact Requirement service, prevent fraud, and improve our services), and compliance with a legal obligation (for example, our obligations to our licensing authority).

6. Who We Share Your Information With

  1. Our drivers โ€” so they can complete your journey (name, phone number, pickup/drop-off addresses, flight number).
  2. Payment processors โ€” Stripe, for card payments.
  3. Email and communication providers โ€” used to send booking confirmations.
  4. Mapping providers โ€” Google Maps, to calculate routes, distances and journey times.
  5. Regulators and authorities โ€” where we are required to by law, or to investigate a complaint or safety matter, including Transport for London.

We do not sell your personal information to third parties.

7. How Long We Keep Your Information

We keep booking, VCR call outcome, and payment records for as long as we are required to under our operator's licence conditions and for tax and accounting purposes, and no longer than necessary for the purposes described in this notice.

8. Cookies & Similar Technologies

Our website uses essential technologies needed to operate the booking form, process payments and load maps. We do not use advertising or tracking cookies.

9. Your Rights

Under UK data protection law, you have the right to: request access to the personal information we hold about you; ask us to correct inaccurate information; ask us to delete your information in certain circumstances; object to or restrict how we use your information; and ask us to move your information to another provider. To exercise any of these rights, contact us using the details in section 14.

10. International Transfers

Some of the third-party providers we use (such as our payment processor) may process information outside the UK. Where this happens, we rely on appropriate safeguards required under UK data protection law, such as standard contractual clauses.

11. Keeping Your Information Secure

We use appropriate technical and organisational measures to protect your personal information against unauthorised access, loss or misuse, including secure, encrypted payment processing through Stripe.

12. Children's Information

Our services are provided to adults who make bookings on their own behalf or on behalf of accompanying children. We do not knowingly collect personal information directly from children.

We may update this notice from time to time. The date at the top of this page shows when it was last updated.
